Outsourcing is no different to having an employee in Australia, as there are so many communication tools available i.e. Skype, that allows you to communicate, share screen and send files to your VA, whilst seeing each other’s facial expression and body language.

Therefore, the distance shouldn’t be a concern. The major issue in dealing with any staff member is to make instructions clear, set goals and task guidelines.

There are many roles available in outsourcing, the model we find works best is for you to have a General VA that can handle all those tasks that fill up your/your team’s day, which are a distraction for you and not the best use of your time.

DO WE NEED TO HAVE ALL OUR SYSTEMS DOCUMENTED BEFORE OUTSOURCING?

There are 3 ways to approach this:

1. You document/video your systems and put them on an intranet site such as Google Sites.

2. You employ a local person to sit with you to document the systems. Our in-house systEmise team can assist you with this if you wish.

3. You outsource the task to your VA that can set up the Google site and document your systems, thus learning your business whilst on the job. We generally prefer this method.

A VA position is generally full-time – it is often hard to share the hours and expect a part-time person to have the specific skills to meet the requirements of two independent businesses. However, we recommend choosing an outsourcing company with a team of in-house team of experts in Social Media Strategy, Web Design and Development, Graphics etc. that can be called on to set up specific projects and work with your VA ( ie setting up a Website ) . Once the foundation sites are set up – your VA can update your social media sites, add text to your website etc. But we recommend that you use an expert in-house team to  set up  the foundations, to ensure your brand looks professional. It is important to hire a VA for the regular ongoing role, rather than recruit a more experienced VA who may get bored longer term.

The cost of Outsourcing varies among different outsourcing companies, depending on the level of support your VA is given.

1. Some companies expect you to train your VA in all aspects of your business and they take a hands-off “bum on seat” approach. This is the cheapest option – if you know what needs to be done and don’t require assistance.

2.
