The Executive Assistant will be responsible for managing the day-to-day administrative tasks for the CEO, ensuring efficient operation of the executive office. Key responsibilities include preparing and managing agendas for meetings, taking detailed minutes, handling post-meeting follow-ups, managing the CEO’s coaching session notes, actions, and reminders, as well as assisting with personal tasks and travel planning. This role requires a high level of professionalism, confidentiality, and excellent organizational skills.

  • Prepare agendas and questions for meetings, ensuring the Asking Leader team are well-prepared and that all necessary materials are ready in advance.
  • Develop comprehensive minutes after meetings, capturing key decisions, actions, and assignments clearly and accurately.
  • Conduct meeting reviews with the Asking Leader team to ensure all action items are captured and assigned appropriately.
  • Manage the follow-up on actions from meetings, ensuring that deadlines are met, and progress is reported to the CEO and Team.
  • Develop notes after the CEO’s coaching sessions with clients, organizing them into actionable items and reminders for follow-up.
  • Coordinate with internal and external stakeholders to ensure smooth communication and scheduling on behalf of the CEO.
  • Assist with special projects and perform additional duties as required to support the CEO.
    • Develop & co-ordinate LinkedIn marketing plan.
    • Co-ordinate financial analysis for each company.
  • Liaise with the bookkeeper (Mia) for accounts and billing.
  • Handle personal tasks for the CEO.
  • Bachelor’s degree in Business Administration, Communications, or related field.
  • Minimum of 3 years of experience as an Executive Assistant, preferably supporting C-Level executives.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and exercise discretion.
  • Proficient in Microsoft Office Suite and comfortable learning new software as needed.
    • Particularly Teams, Outlook, Co-Pilot and Excel.
  • Experience in managing personal tasks and travel planning for executives.
  • Ability to multitask and prioritize tasks effectively.
  • Strong problem-solving skills and proactive work ethic.
